hosting a Summer Potluck Meeting

We are always looking for volunteers to host a Vero Beach Art Club Summer General Meeting.  Below is some information regarding the requirements for hosing.  Please do not hesitate to call the office (772) 231-0303 for any questions you may have.

GENERAL INFO:

Volunteer hours are awarded.

MEETING TIME:

The meeting time is 5:30pm-7:00pm and open to the public.

Be ready by 5:00  because people always show up early - especially the President and Vice President who come early to make sure things are ready.  

PROGRAM:

There is a program - Welcome, short meeting with announcements, etc; open buffet to guests; then show and tell.

WHAT INFORMATION DO YOU NEED:

Give the office your address, phone, and directions to your home so that it can be posted in the newsletter. Do you have a gated community that your guests will need a code?

Make sure your neighbors know so that parking isn't an issue.

WHAT WILL MEMBERS BRING:

It is a potluck meeting, so members will bring a dish to share - like a casserole or a plate of pulled pork or chicken, or a bottle of wine, or a pie, brownies, etc.  Bag of chips and dip.  Etc.

WHAT DO I NEED TO PROVIDE:

Have a table or area for a sign in sheet (which we will bring), which the President should collect and deliver to office after. 

Make sure there is adequate seating.  Last year's Summer Meetings averaged around 30-40 members attending, but this is not a given at any time.  (It depends on the weather too so be prepared for inclement weather.)

Hosts typically provide ice, paper plates, plastic utensils, plastic cups, water (and maybe wine, juice, sodas and/or coffee-up to host).

Have a couple spots to throw away trash to make clean up easier.  Generally some people help tidy up but it is not a given.  Disposables are best.
